Status
Suspended: Members who are taken out of the system due to non payment of fees or ethics violation should be listed as Suspended. Terminated status would be used when we have been notified by paper or electronically that the person is leaving the association. If you suspend a member at NRDS, (for not taking their ethics requirement, for example) they are not considered terminated and it should be a temporary status that should be changed to active or terminated at some point. A suspended member can log onto the NRDS site to pay invoices and register for classes like ethics.
Rapattoni: Membership Status "Suspended" for those members whose MLS & KEY privileges are temporarily "Terminated"for non-payment? Using "Suspended" would make keeping track of the actual "Terminated" KEYS and MLS much easier.
Active: Member is active
Inactive: do not use
Pending: Status for those who have not competed the Orientation class
Terminated: No longer a member and appears they are not coming back. In Magic, the statuses of Terminate and Suspend can be used by NSBAR synonymously. However, at NRDS they should not be used interchangeable. Terminate is more permanent and does not allow a member to log onto the NRDS to pay invoices or take classes.
Waived: Is only available for MLS and only if the CEO verifies this.
Member Type
DR: Each company (i.e. Coldwell Banker, Baird & Warner, etc) have only ONE DR for ALL the offices. Coldwell Banker is Doug Ayers, Baird & Warner is Steve Baird, Koenig & Strey GMAC is Chris Eigel, Prudential Preferred Properties is Jim Roth. Only the CEO may authorize a change in DR
DR means sponsoring broker or corporate officer/partner see bylaws Article IV Membership Classification, Section 1, (c).
RM: Each multi office must have a RM.
Main Office number: Offices that have more than one address must have a main office number which is the office number of the DR. If the owner of the company is a member of another association, we still use their main office number. Example: Steve Baird main association is CAR so the main office number for ALL Baird & Warner office in NSBAR is 10012. Therefore, all Baird & Warner offices have the same Main office number, Coldwell Banker Residential have the same main office number, etc
New member: BEFORE entering a new agent, make sure they are not already in the database as a former member. Also, make sure they do not already have a NRDS number assigned to them.
NML: After entering a NML into the system, send a letter to the DR, RM AND NML explaining rights and non rights on NML http://www.nsbar.org/join/nonmember.asp
Email: insist on an email address and if they do not have one then have them talk to our tech department.
Transfers: Make sure you change email address when changing from one office to another. Many of the companies have their own email system and the agent cannot and does not want the old address with the old office.
Collecting fees: Delinquency letters must go out at the end of each month stating they will have their membership suspended until the amount if paid in full. This would be for 60 days delinquent. There should never be more than 60 days delinquent if this department is doing their job correctly.

Affiliate: Does not have a real estate license or appraiser license. If they are home inspectors or mortgage brokers then we must see their license before they join. This type of member cannot have access to MLS nor Supra. Usually this is Banks, Title Companies, etc. They must pay local affiliate dues BUT can elect to join IAR or not. NAR membership is not available.
From IAR: For those of you who are POE’s, please note that IAR does not download your Affiliate member adds/changes/drops from NRDS. Among the problems we have is that some do not pay state dues so we would have no reason to keep track of them in our database. Whenever you have an Affiliate member who is also an IAR member, please remember to update us. You can do this through snail mail, e-mail or by picking up the phone and calling either me or Roger.
Please note: it’s not required that you keep your Affiliate member information in NRDS but it’s available if you find it useful. Using NRDS to keep track of your affiliates won’t affect any counts pulled by NAR as they only look at the REALTOR, REALTOR-Associate and Institute Affiliate classifications.
Institute Affiliate: This is a highly specialized membership and rarely will these people come to us first to join. They are usually a member of one of the Institutes, Societies or Counsels http://www.nsbar.org/education/designations.asp of NAR and then NAR makes them join us and NAR collects the dues. Details of this special classification is in the membership records book.
Life Members: NSBAR Board of Directors confers this membership classification – again, it is rare. NAR confers REALTOR® Emeritus of those who have been members for 40 years (it used to be 50 years). If they are just Life members then they have free dues (NOT free MLS fees) and NSBAR pays IAR and NAR for their dues. If they are RE then their dues are free for the rest of their life.
From NAR: In a member record in NRDS there are fields showing whether a member’s dues are waived or not. These fields appear about 2/3 of the way down the member record once you open it up. When NAR runs their counts, they exclude anyone with a YES in the “Dues Waived National” field. And for life members – “really shouldn’t have their State & National dues fields waived on NRDS”
No Member type: Should not use
Others: We use this for EPOA – Evanston Property Owners Association we keep records for them for free. Some of our members belong to this group.
Applicant: We don’t use this classification any more. If we have a member who has not completed the mandatory orientation class then we put their status as P.
Public Service: We have NO members in this classification.
REALTOR: The largest bulk of our members are in this classification. They must complete orientation within 3 months of joining UNLESS they are coming from another REALTOR® association or reinstating with us.
Non member licensees or S: They have access to MLS if their DR is in MLS but they do not get any of the Association services such as Supra, member fees for education, etc. See separate report on this classification.
From Rapattoni: You attach members to an office, not to a DR or RM. When you add the non-member licensee you attach them to the office where the RM is that is responsible for them. The DR is attached to the Main office while the RM is in the Branches. You should probably look at the 10 C/B offices and see how the Responsible Member, Office Manager, Billing Office and Main Office are set up. The branches should all have the main office # in there, and if they pay their own bills then they are their own billing office. Each branch will have their own responsible member, but in the Main Office field be linked to the one with the DR.
Secretaries: Are in the system to gain access to the member only section. They are not charged dues and they are not considered a member. This is just a courtesy to help the DR and RM. Secretaries also want a number to access MLS. We give them a number corresponding to the office number, i.e. 3420S1. This number is NOT in Rapattoni but is in the MLS system and there must be a way for us to bill for that number over the allotment.
MLSNI said for every 2-10 paying agents they get one free secretary
for 11-49 agents, they get 2 free secretaries
over 50 they get 4 free
They can purchase additional secretary accounts,
Staff: This is only for staff of NSBAR to gain access to Rapattoni.
Reciprocal: This should have never been input as a Billing Type because this has nothing to do with membership. This is a type of special license. There are abilities to receive a reciprocal license from another state but they forfeit the license if they move into that state. If they join – it will be as a REALTOR® or secondary member.
Secondary: This is for those who hold membership in another association and also want to belong to NSBAR. You would use their current NRDS number (this is CRITICAL). Their broker or a broker from their company (i.e. Coldwell Banker) would also have to be a member of NSBAR BEFORE they can join us. Just as with the license law – those who do not sponsor cannot do anything without their broker.
If they transfer in from another association, check with that association (thru the Good standing letter and call) to make sure they have paid local, state and national dues. If not then they have to settle up with their first board or join us as a REALTOR® member. If they are paid up then they would only pay us local dues prorated on the day they join us.
New Office: They have to have a sponsoring broker. If they want access to MLS then they must have a sponsoring broker who holds a real estate license.
We do not refund dues or fees.
